Patient Care, Follow-Up, Refund, and Termination Policy

Last Updated: September 18, 2026

At Novirra LLC, patient safety, appropriate medical care, realistic expectations, and open communication are priorities. Aesthetic treatments involve individual biological responses, and results, healing, side effects, and recovery may vary from person to person. By receiving treatment with Novirra LLC, you agree to the terms outlined below.

1. Treatment Results and Expectations

Aesthetic treatments cannot guarantee a specific cosmetic outcome. Results may vary based on anatomy, skin type, underlying medical or dermatologic conditions, lifestyle factors, adherence to pre- and post-treatment instructions, and individual healing response.

Temporary redness, swelling, tenderness, dryness, peeling, sensitivity, bruising, congestion, acne flares, or other treatment-specific reactions may occur depending on the procedure performed.

The presence of an expected side effect, temporary healing response, or dissatisfaction with the degree of cosmetic improvement does not automatically indicate that a treatment was performed improperly.

2. Post-Treatment Concerns

Clients experiencing an unexpected reaction, persistent symptoms, or concerns regarding treatment results should contact Novirra LLC promptly.

Photographs and electronic communication may assist with an initial assessment but may not always provide enough information to properly evaluate or manage a medical or dermatologic concern.

When clinically appropriate, Novirra LLC may recommend or require an in-person evaluation. Certain symptoms or treatment concerns cannot be safely or accurately assessed solely through photographs, text messages, social media communication, or opinions provided by individuals who did not perform or supervise the treatment.

If urgent or emergency symptoms develop, clients should seek appropriate emergency medical care rather than waiting for communication from Novirra LLC.

3. Follow-Up Care and Medical Recommendations

Reasonable follow-up is an important component of aesthetic medical care.

Clients are expected to communicate relevant symptoms and concerns accurately, follow reasonable pre- and post-treatment instructions, and attend recommended follow-up evaluations when an in-person assessment is necessary.

Clients maintain the right to decline any treatment, recommendation, examination, or referral. However, declining a recommended evaluation may limit the ability of Novirra LLC to determine the cause of symptoms, assess for a treatment-related complication, or provide appropriate treatment recommendations.

Novirra LLC will not make definitive medical conclusions when the information necessary to safely evaluate a client’s condition is unavailable.

4. Underlying Medical or Dermatologic Conditions

Aesthetic procedures are intended to address specific cosmetic concerns and are not designed to diagnose or treat every underlying medical or dermatologic condition.

Conditions including, but not limited to, acne, rosacea, dermatitis, infection, hormonal skin changes, allergic reactions, or other skin disorders may require evaluation and treatment by a dermatologist, primary care provider, or other qualified healthcare professional.

The development, persistence, or identification of an underlying condition following an aesthetic procedure does not necessarily mean that the condition was caused by the procedure.

When appropriate, Novirra LLC may recommend that further aesthetic treatment be delayed until an underlying condition has been properly evaluated or treated.

5. Outside Opinions and Second Opinions

Clients are always entitled to seek a second opinion regarding their care.

Opinions provided by another healthcare professional, esthetician, or aesthetic provider may be considered when relevant. However, an outside opinion does not replace the responsibility of Novirra LLC to independently evaluate a client when the practice is being asked to provide medical advice, corrective treatment, or management of a possible complication.

When clinically necessary, Novirra LLC may request an in-person evaluation or documentation from another licensed healthcare provider before recommending further treatment.

6. Refund Policy

Payments for aesthetic services compensate Novirra LLC for professional services, provider time, medical supplies, medications or products used, facility resources, and performance of the procedure.

Because individual cosmetic outcomes and biological responses cannot be guaranteed, dissatisfaction with the degree of improvement or the presence of an expected treatment response does not automatically qualify a client for a refund.

Once a treatment has been performed or a product has been administered, fees are generally non-refundable unless otherwise required by law or specifically authorized by Novirra LLC.

When a client reports a possible treatment complication or unexpected outcome and requests a refund, Novirra LLC may require an appropriate clinical evaluation before determining whether additional treatment, referral, supportive care, account credit, or another resolution is appropriate.

If a client declines a reasonable recommended evaluation, Novirra LLC may be unable to determine whether the concern is related to the treatment performed. Refusal of evaluation does not, by itself, establish entitlement to a refund.

Any refund, credit, complimentary treatment, corrective service, or other accommodation provided by Novirra LLC is determined on an individual basis and does not constitute an admission of negligence, wrongdoing, or improper treatment.

7. Corrective or Additional Treatment

Any decision to provide complimentary corrective treatment, additional product, repeat treatment, account credit, or another accommodation will be determined on a case-by-case basis.

Clients should not assume that additional treatment will be provided without charge unless specifically authorized by Novirra LLC.

In some circumstances, additional aesthetic treatment may be medically inappropriate. Novirra LLC reserves the right to delay or decline further elective treatment when doing so is considered necessary for client safety.

8. Client Conduct and Communication

Novirra LLC is committed to maintaining a respectful and professional environment for clients and staff.

Clients may express concerns, request clarification, seek second opinions, disagree with a recommendation, or express dissatisfaction without fear of retaliation.

However, threatening, abusive, harassing, discriminatory, fraudulent, or repeatedly disruptive behavior toward providers, staff members, contractors, or other clients will not be tolerated.

Novirra LLC may also require that medical concerns be communicated through designated business or medical communication channels rather than personal social media accounts or personal messaging platforms.

9. Discontinuation of Elective Treatment

Novirra LLC reserves the right to postpone, decline, or discontinue elective aesthetic treatment when the treating provider determines that continuing treatment would not be medically appropriate or that a safe and effective provider-client relationship can no longer be maintained.

This may include, but is not limited to:

  • Repeated refusal of clinically necessary follow-up evaluation while continuing to request management of the same concern.

  • Failure to provide information reasonably necessary to evaluate or treat a reported complication.

  • Repeated failure to follow safety-related treatment instructions that materially increases the risk of harm.

  • Requesting further treatment when the provider believes additional treatment would be unsafe or medically inappropriate.

  • Providing knowingly inaccurate or incomplete medical information.

  • Threatening, abusive, harassing, fraudulent, or significantly disruptive behavior.

  • A breakdown in the provider-client relationship that prevents safe or appropriate care from being provided.

A client will not be denied future treatment solely because they express dissatisfaction, raise a concern, request a refund, decline an elective procedure, disagree with a provider, or seek a second opinion.

10. Termination of the Provider-Client Relationship

When clinically and legally appropriate, Novirra LLC reserves the right to terminate an established provider-client relationship.

Any termination will be handled in accordance with applicable Ohio laws, professional licensing requirements, continuity-of-care obligations, and medical record requirements.

When required, the client will receive written notification regarding termination of care, the effective date of termination, any applicable transitional care period, and instructions regarding transfer of medical records.

Termination of the provider-client relationship does not prevent a client from requesting access to or transfer of their medical records as permitted by law.

11. Documentation

Novirra LLC may document all treatment-related concerns, recommendations, referrals, follow-up offers, declined evaluations, declined recommendations, client communications, photographs, and treatment decisions in the client’s medical record.

This documentation is maintained to support continuity of care, patient safety, and appropriate clinical decision-making.

12. Respect and Professional Courtesy

This policy is intended to support safe treatment, clear communication, realistic expectations, and a respectful provider-client relationship.

Novirra LLC will make reasonable efforts to address treatment concerns and provide appropriate follow-up recommendations. Clients are expected to participate in the evaluation process when necessary so that concerns can be assessed safely and appropriately.
